Administrative Assistant
Position Summary
Provide administrative support to the Vice President of Sales & Marketing.

Essential Functions Statement(s)
- Open, sort, and distribute incoming correspondence, including faxes and email.
- Read and analyze incoming emails, memos, submissions, and reports to determine their significance and plan their distribution.
- Prepare responses to correspondence as assigned by the Vice President.
- Answer phone calls and direct calls to appropriate parties or take messages.
- File and maintain records.
- Perform administrative support tasks, such as proofreading, drafting documents/messages, and transcribing handwritten information.
- Transmit information or documents to agents and customers, using a computer, mail, or facsimile machine.
- Provide information about establishment, such as the location of offices, and services provided.
- Keep a current record of staff members’ whereabouts and availability.
- Manage Vice Presidents schedule and make travel arrangements as needed.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for a committee, board, and other meetings.
- Assist in scheduling space or equipment for special programs and prepare lists of participants.
- Prepare reports and create presentations as needed.
- Meet deadlines for tasks and assignments.
- Handle small to medium projects as assigned.
- Support the Vice President in meeting multiple deadlines as needed.
- Miscellaneous tasks as directed.

SKILLS & ABILITIES
Education: High School Graduate or General Education Degree (GED)
Experience: 1 to 2 years’ experience in an administrative role preferred.
Computer Skills: Proficient in Microsoft Office Suite.
